UCPG is looking for a full time Property Management Coordinator who will be responsible for all the activities related to the operations of the retail and office properties within our organization. Reporting to the Senior Property Manager, the Property Management Coordinator will play a key role in Property Management as it relates to University District and University Innovation Quarter projects and will be responsible to uphold the quality standards for management of University of Calgary Properties Group Ltd.

JOB SUMMARY

This evolving position is responsible to support and assist the Senior Property Manager and the Property Management team to ensure the successful day to day operations of the properties.  The position requires an individual who exemplifies professionalism, service excellence, attention to detail, and focus on quality. This position may require some flexibility in work schedule and some overtime hours to support property management objectives and UCPG tenants.

JOB QUALIFICATIONS

What you will do:

  • Deliver exceptional customer service to internal and external customers.
  • Act as the primary tenant contact for inquiries and requests, requiring detailed coordination and communication between the tenants, building operations, security, construction, accounting, and leasing ensuring all requests and concerns are dealt with in a professional and prompt manner.
  • Escalation contact for building emergencies, responding quickly and effectively to all tenant and management requests.
  • Promote a positive work environment and culture for all employees and contractors.
  • Monitor Yardi PM program to ensure work is being completed.
  • Create SOP’s for new and existing work practices within the Property Management team.
  • Member of the JHSC, actively participate in safety programs and ensure compliance with all H&S safety policies.
  • Manage the incident reporting system including follow-up with different departments for action item completion.
  • Assist the Senior Property Manager with budget preparation, contract negotiation and management of operating costs by adhering to purchasing processes and reviewing and approval of all billings.
  • Assist with monthly variance reporting.
  • Support project management including creating RFP documents, gathering quotes, reviewing quotes, and awarding contracts.
  • Liaising with building contractors on projects ensuring they are completed as scheduled and in accordance with the budget guidelines including landscaping, waste removal, pest control, janitorial, parking, and common area repairs.
  • Liaise with residential property managers and condo board representatives.
  • Conduct monthly meetings with base building contractors.
  • Conduct regular meetings with tenant representatives.
  • Updating the Tenant Manual on an ongoing basis.
  • Assist in the day-to-day management of University District and UIQ (in future) including: Central Commons Park (Ice rink, water feature, fire features, plaza’s), snow removal and landscaping throughout UD and UIQ, street signage, tenant signage, neighbourhood association.
  • Draft professional and concise internal and external property management communications and reports.
  • Other assigned duties.

Technical Qualifications

You will have a minimum of 5 years’ experience in a Property Management assistant or coordinator role, preferably in a commercial/retail environment.

  • RPA/FMA or equivalent experience, or working towards the designations.
  • Working knowledge of Occupational Health and Safety Act.
  • Superior financial, analytical and research skills.
  • Excellent oral and written communication and presentation skills.
  • Ability to develop and sustain cooperative and effective working relationships at all levels.
  • Ability to exercise and maintain confidentiality.
  • Displays enthusiasm and has a desire to learn.
  • Is a collaborative team player.
  • Ability to allocate one’s time effectively, work under pressure, manage tight deadlines, and handle multiple demands/competing priorities.
  • Able to resolve problems and make good judgements using facts and sound reasoning.
  • Intermediate to advanced skills in Yardi and Microsoft Office (Word, Excel, PowerPoint etc.).
